It’s not just about making your life easier, although that’s certainly important. It’s about maximising your efforts while allowing your team to take on more, freeing up your time and energy for strategic planning. 

I used to have a beef with the mountain of “urgent” to-dos that hijacked my carefully planned day.

  • The never-ending stream of emails
  • Unexpected tasks
  • Unpleasant ‘surprises’
  • Clients demanding immediate attention
  • Staff needing my opinion before they can move forward

Your carefully planned day? POOF! 💨

In the meantime, the work you planned piles up. Of course, you then work more hours in an (failed) attempt to stay on top.

The thing is, if it happens today, and tomorrow and also next week and the week after, you will run yourself ragged at some stage.

Who has time for creating content!? It’s a tedious job.

Social media posts, newsletters, videos. You and I, we’re both convinced they are part of the road to success, but we sure wish it would be less of a time-consuming affair. Am I right?

Unfortunately, I can’t speed up the content creating process for you (although you could look into hiring a contractor). But here’s what I can help with: Use your content in such a way the investment really pays off. If it truly captures quality leads, we’re winning, right?

In my work as a business coach, I have noticed a common downfall: Many business owners put out content without a clear plan of how it ties in with the lead capturing process, and that’s where opportunities get missed.

So, to get the most out of that precious time (or money) you invest in creating content, I recommend implementing these 5 practical tips to avoid burnout when growing a business:

  1. Don’t Leave Out The Call To Action: For every piece of content you create, include a clear call to action. It can be as simple as “Reach out if you’d like to learn more” or “Sign up here to stay in touch.” Consistency wins the game. Because if you stick with it, it’s a small tweak with a big impact! 📣
  2. Create A Referral Process: For service-based businesses, referrals are often the biggest lead generator. They are absolute gold! And you definitely don’t want to leave them to chance! I recommend having a referral document ready to send out. 
  3. Regularly Touch Base With Past Clients Or Partners: It reminds them you’re there, ready to help them. A simple follow-up could lead to your next big project. 
  4. Use A Lead Collection Tool: I am a big advocate for having a reliable system to capture leads. This could be a (basic) website form, a referral form sent by email or a Social Media link. Any of these (or all of them) will do the job. 
  5. Keep Your Leads In One Place: Use a CRM, a spreadsheet, a platform like Monday.com to keep all your leads in a single place. Because what’s the point in putting all that time and effort into capturing leads if inefficiency and chaos results in lost and forgotten contacts? 

By keeping your prospecting process simple and organised, you’ll not only create more opportunities, but you also are less likely to drop the ball on your next big lead. 🙌


Growing Your Business Without Burnout: Build a Clear, Simple Path to Working with You

But there are plenty additional simple things you can do to avoid burnout as a business owner. I’m talking about the sales process.

The problem isn’t usually a lack of interest from potential clients; it’s that the path to working together isn’t always clear. During the sales process, clients aren’t always sure what to do next (so they do nothing), or maybe you spend too much time going back and forth just to just set up an initial conversation.

The point is that if your sales process is confusing or time-consuming, you’re probably losing leads.

Here are 3 ways to fix this (and make progress in preventing burnout while growing your business):

  1. Clarify Your Next Step: Make it blatantly obvious to your potential client what the next step is. For me, having a link to my calendar on my website was a game-changer. If someone reaches out, I send them to my website to schedule a call. Easy peasy! 
  2. Pre-Qualify Your Leads: Not every lead will be a good fit, and that’s okay. But you also don’t want to spend time on a prospect that is not a good match (because your values don’t match, or because the services you provide don’t suit their needs, etc.) When I started looking at what I could do to avoid burnout, I decided to pre-qualify people through a few questions on the intake form or during an initial conversation. This doesn’t have to be complicated—just enough to make sure you’re spending your time with the right prospects. 👌
  3. Keep a Simple Follow-Up Schedule: I’ve said this before and I guess this is a good time for a reminder: Following up is essential. But I also make sure it’s a simple, consistent, and efficient process. I stick with a basic follow-up routine: one reminder a week later, and another after a month if I still haven’t heard back. This keeps you top of mind without feeling pushy. 📆

With a clear and efficient sales process, you’ll convert more leads and reduce the stress of constant back-and-forth. Plus, your potential clients will appreciate how easy you are to work with! 🌟

You guessed it, for delivery, we’re sticking with clarity and consistency.

Once a client signs on the dotted line, delivering a great experience is crucial—not just to make them happy but to turn them into raving fans who’ll sing your praises far and wide! 🎉

But how do you deliver consistently while also preventing burnout while growing your business?

Here are my recommendations for a streamlined client delivery that ticks both boxes.

  1. Set Up a Standard Onboarding Process: Without a fault, I start every client relationship with clarity. A simple checklist or template makes onboarding a breeze. For my business, I include a welcome email, an overview of the timeline, and any resources they may need. Keeping this organized ensures everyone knows what to expect, including boundaries and next steps. 
  2. Check In Regularly: Don’t wait until there’s a problem to communicate with your clients. Schedule check-ins or send regular updates. Even a short email can make a big difference. These touchpoints help clients feel supported and build trust, turning a good experience into a great one. 
  3. Ask for Feedback: At the end of a project, ask for feedback. What did they love? What could be better? (Yes, I have a form for that too.) This shows that you value their experience and are committed to improving. And if they’re thrilled with the results, don’t be shy—ask for a testimonial! Positive social proof is gold for winning new clients. ⭐

While there is a lot of (valid) talk about “reducing stress” and “self-care”. It equally makes sense to set your business up in such a way that you maximise the result for the work you put in. After all, if you need to work less for the same result, you reduce the risk of burnout.

But honestly, it isn’t just about making your life easier (although that’s a big part of it!). It’s also about creating a business that’s efficient, manageable, and ready for growth. But maybe the best of it all is that with systems in place, your team can handle more of the workload, freeing up your time and energy.

Start small, tweak your systems as you go, and you’ll feel the difference. Scaling sustainably is all about consistency and simplicity, and yes, it’s totally doable! 🎯
